Scheduled Maintenance Spreadsheet! (Patreon)

In the last video I showed the scheduled maintenance spreadsheet that I developed for keeping track of regular tasks on board Tally Ho. It calculates the next date for regular tasks, and there are a few highlighting features that makes overdue tasks obvious at a glance.

I received quite a lot of messages from people wondering if I could share it, so here it is! You should be able to download either the Microsoft Excel or Apple Numbers version by clicking on the file name below.

I've left a few example jobs on the spreadsheet so you can see how it works. You can replace or adapt these for your own scheduled maintenance jobs. As well as boat-maintenance, it could work just as well for other vehicles, properties, or just about anything else!

Example; Engine oil and filter needs to be changed every year OR every 250 hrs of running the engine.

In TIME INTERVAL, enter 360 (or 360d on apple numbers). In ENG HR INTERVAL, enter 250.

In LAST DONE DATE, enter the date of the previous oil/filter change. In LAST DONE ENGINE HRS, enter the engine hours of the previous oil/filter change.

NEXT DUE (DATE) and NEXT DUE (ENG HRS) should populate automatically. They will turn yellow when due date is a week away, orange when it is 2 days away, and red when the task is overdue.

Notes;

Any task can have either an ENG HRS INTERVAL, or a TIME INTERVAL, or neither, or both!

Date format is YYYY-MM-DD (This is to avoid confusion between US and other date formats).

If you use the Engine Hours feature, you will need to manually update CURRENT ENGINE HOURS in the top right corner of the spreadsheet - in order to see which ENG HR jobs are nearly due or overdue.
